Instead of adding people first, we define the company: what work exists, who or what should do each part, what each role may and may not do, and where a person must approve before anything goes out, gets spent or changes. Then we build the first workflow so you can see it working.

If a build does not work

Before any work starts we agree a written acceptance test: the inputs, the expected outputs and the approval steps. If a build fails that test after one fix cycle, the build portion of that fee is refunded. We do not promise savings, income or hours saved.

  1. Map

    We list what the business actually does, who owns each task today, and where your time goes.

  2. Classify

    Each task is placed on a ladder from human-only to fully automated, based on risk and what data it touches. Money and outbound messages always keep a person in the loop.

  3. Assign

    Tasks are grouped into roles: people, AI roles or plain software. Each AI role gets written limits, a named approver and an escalation path.

  4. Equip and ground

  • Call quality is scored by fixed, auditable rules, not by an AI's opinion. An AI reviewer can suggest a rule change, but the change is accepted only if it passes automated checks against every stored call.
  • When an AI summarizes a call in my systems, every point it records must quote the transcript word for word, or it is discarded.
  • I use the least expensive AI model that can do each job and reserve the most capable one for oversight.
  • In my systems, outbound email defaults to drafts, deleting anything needs my explicit instruction, and the one agent allowed to change ad settings can only cut spend.
  • Every safeguard I run traces back to a specific failure. After a server restart interrupted a live customer call, I added a check that refuses to restart while a call is in progress.

Do I need to be technical?

No. You describe how the business runs and approve decisions. I handle the tooling choices and explain them in plain language.

Is implementation included?

The Quick Win Sprint includes building one workflow in your own tools. The Blueprint + Build includes the full Blueprint plus two more workflows built in the first 30 days. Anything beyond that is scoped and priced separately before it starts.

Which AI tools do I need?

None to begin with. We start from the tools you already use and pick the simplest option that does the job. You own the accounts and pay your own software and usage costs. If your existing tools cannot do the job, I will tell you before you buy anything.

How long does it take?

A Quick Win Sprint takes 7 business days. A Blueprint + Build takes 14 business days. Both start after the acceptance test is agreed.

What about confidential data?

The Blueprint is strategy and architecture. It does not require access to your systems or your customer data. For builds, access is limited to what each workflow needs, and no customer data goes to an outside AI service without your written approval.

Does it work with the software I already use?

Usually that is the starting point. The first question in the discovery session is what you already run. Where a tool cannot support a workflow safely, I will say so and suggest the smallest change.

What size of business is this for?

Owner-led businesses with a small team, where the owner still handles much of the coordination. If you have no repeatable process yet, or a large organization with its own IT department, it is probably not a fit right now.

Will AI replace my employees?

That is not the aim. The goal is to give a small team the structure of a larger one, so work is not stuck in your head. People approve anything that is sent, spent or changed for a client.
